Terms of Use — VendLog

By downloading, installing, or using VendLog ("the App"), you agree to these terms and to Apple's Standard End User License Agreement (EULA). If you do not agree, please do not use the App.

1. Apple Standard EULA

VendLog is licensed, not sold, to you. Your use of the App is subject to Apple's Standard End User License Agreement unless a separate written agreement applies.

2. Description of the App

VendLog is a route book and per-machine profit-and-loss tracker for independent vending machine operators, for iPhone and iPad: machines and locations, service visits (collections, restocks, stales, meter readings, photos), expenses, and per-machine P&L.

The App records and calculates from the values you enter. It does not connect to your machines, card readers, payment processors, or bank, and it does not move money.

3. VendLog Pro

VendLog is free to download and offers an optional one-time, non-consumable in-app purchase called "VendLog Pro".

VendLog Pro unlocks exactly these 12 features: location commission (including recording commission paid at a visit), sales-tax provision, commission statements, analytics (rankings, dead machines, most-restocked products, trends, and dead-machine alerts), ROI and payback, routes, picklists, the prospect pipeline (with follow-up reminders), the mileage log (including vehicles using the mileage allowance method), CSV and PDF exports, accent themes, and unlimited machines.

Always free: up to 3 machines; locations and products; service-visit logging (collections, refunds, float, restocks, stales, meter readings, photos, notes); expenses, including vehicles using the actual expenses method; basic per-machine P&L (collected minus cost of goods); visit reminders; the Face ID / Touch ID lock; Home Screen widgets; iCloud sync; and Delete All Data. The free limit applies when adding a 4th machine; machines you already have stay fully usable.

There are no subscriptions or recurring charges. You can restore purchases via Restore Purchases in the App.

All purchases are processed by Apple through the App Store. Refunds and billing issues are handled by Apple according to App Store policies.

4. User Data

Data you enter into VendLog is stored locally on your device. If you turn on iCloud sync (free, off by default), it is also synced through your personal iCloud account when iCloud can be opened at launch.

The developer keeps no copy of your data and cannot restore it. You are responsible for your own backups. CSV and PDF export is a VendLog Pro feature.

You are solely responsible for the accuracy of the information you enter. If you record contact details of location partners or prospects, you are responsible for handling them lawfully.

5. Calculations — Not Tax, Accounting, or Legal Advice

VendLog computes figures from your own entries: gross, cost of goods (COGS), per-machine P&L, location commission (a percentage of gross or a fixed monthly amount), a sales-tax provision (the tax contained in your tax-inclusive gross, at the rate you set for each location), a mileage deduction, and ROI and payback against a machine's purchase price, with an estimated payback period based on recent months.

Mileage: each vehicle uses one method, never both — actual expenses (its expenses are deducted and its trips are logged without a deduction) or mileage allowance (distance × rate is deducted and its expenses are not); the method is fixed once trips or expenses are attached. Distances are kept in miles or kilometers as entered, and each trip keeps the rate in force when it was logged. In the United States region, the default rate is an IRS standard mileage rate per mile, which you can change; elsewhere there is no default rate and you enter your own.

When you change a location's commission or sales-tax terms, you choose the date they apply from: visits before that date keep the previous terms. If you choose a past date, the new terms apply from that date onward and replace any terms you had recorded from it, so figures you have already produced for that period — statements and P&L included — may change. Each visit keeps the location where the machine stood when it was logged, and the cost recorded for a restock stays as it was when you logged it, even if you later change the product's cost.

A fixed monthly commission keeps counting while no machine stands at a location. Once every machine has been moved out, you can archive the location from a date you choose, no earlier than the calendar day of its latest recorded visit: the fixed fee is suspended from that date until you unarchive the location, and no machine or new visit can be assigned to it meanwhile. Its visits, terms, and archive periods are kept. As with terms, choosing a past archive date can change figures already produced for that period.

VendLog does not count items sold: product figures are based on the units you restocked. A meter reading lower than the previous one is saved and flagged as a rollback; if you mark the meter as replaced, that reading becomes the new baseline and no rollback is recorded.

These figures are tools to help you keep your books. They are not tax, accounting, legal, or financial advice. The sales-tax provision applies a single rate per location; it is not a calculation under the tax rules of any state or jurisdiction. The default mileage rate may not be current or may not apply to you, and whether actual expenses or a mileage allowance suits your situation is for you to decide — check before relying on them.

You remain solely responsible for the commission statements you give to location partners, for any commission you pay, and for your tax returns, filings, and declarations. Consult a qualified professional where needed.

6. Acceptable Use

You agree to use the App only for lawful purposes.

You agree not to reverse-engineer, decompile, redistribute, modify, disrupt, or misuse the App.

7. Disclaimer of Warranties

The App is provided "as is" and "as available" without warranties of any kind, to the maximum extent permitted by law.

The developer does not guarantee that the App will be uninterrupted, error-free, or available on every device or operating system version.

8. Limitation of Liability

To the maximum extent permitted by applicable law, the developer shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the App.

This includes, without limitation, loss of data, inaccurate figures, commission paid or statements issued, tax filed or owed, export issues, device issues, or decisions made based on information displayed in the App.

9. Changes to These Terms

These terms may be updated from time to time. Changes will be reflected by the last updated date above.

Continued use of the App after changes means you accept the updated terms.

10. Governing Law

These terms are governed by the laws of France, without prejudice to the mandatory consumer-protection rules that may apply to you. Subject to those rules, any disputes shall be subject to the jurisdiction of the courts of France.
