Privacy Policy — VendLog

VendLog ("the App") is developed by Alex Masure. This policy explains how the App handles your data on iPhone and iPad. In short: no account, no ads, no tracking — by default, your route book stays on your device. Data leaves it only through iCloud sync, if you turn it on; when you share an export; and, for the address alone, when you ask for directions in Apple Maps or Google Maps.

1. Data Collection

VendLog does not collect, store, or transmit any personal data to servers operated by the developer.

No account creation or registration is required. The App makes no network requests of its own: the only network traffic comes from Apple system services you choose to use — CloudKit for optional iCloud sync, and StoreKit for the in-app purchase.

Data you enter may include: machines (name, type, serial and key numbers, purchase price and date, status, visit interval, notes, photo), locations (name, address, contact name and phone, notes, commission and sales-tax terms with the date they apply from, and archive dates), products (name, category, unit cost, sale price, barcode), service visits (date, cash and cashless collected, refunds, float, meter reading, whether the meter was replaced, meter photo, restocked and stale units with their cost, commission paid, photos, notes), expenses (date, amount, category, note, receipt photo, and the machine, location, or vehicle it belongs to), vehicles (name and cost method), mileage entries (date, distance, unit, rate, vehicle, route, note), routes, and prospects (name, address, contact name and phone, status, follow-up date, notes).

2. Local Storage

Your data is stored locally on your device using Apple's SwiftData framework, in an App Group container shared with the VendLog widgets. Your settings (such as currency, distance unit and mileage rate, reminder time, the lock preference, and the iCloud sync preference) are stored in that same App Group, on your device.

All calculations — per-machine P&L, commission, sales-tax provision, mileage deduction, ROI and payback — run on your device. The developer has no access to the content you add to the App.

3. iCloud Sync

Optional iCloud sync is free. It is off by default and stays off until you turn it on in Settings. Before turning it on, the App checks that an iCloud account is available on your device; the change applies the next time you open the App.

When sync is on and iCloud opens successfully at launch, your VendLog data — including the photos stored in the App — syncs through your personal iCloud account via Apple's CloudKit private database (iCloud.com.lexa.vendlog). If iCloud cannot be opened, the App falls back to the data stored on your device, provided that local store can be opened, and says so in Settings; if the local store cannot be opened either, the App tries to run in temporary memory: if that works, a warning says that data may not be kept; if it does not, the App shows that it cannot open its data. Turning sync on does not by itself mean a copy is already in iCloud. Sync is managed by Apple. The developer cannot access your iCloud account or synced data.

Turning sync off also takes effect the next time you open the App; until then, the App keeps using iCloud as it did at launch.

Your settings are not synced, and the widgets only read the data stored on your device.

4. Permissions

Camera: to photograph a meter, a machine, or a receipt. You can also choose an image through the system photo picker; the App does not request access to your photo library. Photos are resized and stored inside the App's data. The App never saves them to your photo library.

Face ID / Touch ID: optional lock, off by default. Authentication is handled by the operating system, which only tells the App whether it succeeded; no biometric data is accessible to or stored by the App.

Notifications: local reminders only, scheduled on your device and off until you turn them on — visit reminders and, with VendLog Pro, dead-machine alerts and prospect follow-ups. A reminder shows the name of the machine or prospect concerned. No remote push server is involved.

Widgets (Home Screen): "This Month" shows the amount collected this month and the number of service visits; "To Visit" shows the names of the machines due next. They read the data already stored on your device and remain visible on your Home Screen even when the Face ID / Touch ID lock is on. The amount is shown by default; you can hide it with the "Hide collection amount" option in the widget's settings. The visit count and the machine names stay visible.

Directions: when you ask for directions to a location, the App hands the address you entered to Apple Maps or, if it is installed and you choose it, to Google Maps. That app then applies its own privacy policy.

VendLog does not use location services, contacts, the microphone, HealthKit, or on-device machine learning models.

5. Analytics, Ads, and Tracking

VendLog contains no advertisements.

VendLog integrates no third-party analytics or tracking SDKs.

No App Tracking Transparency (ATT) prompt is shown and no advertising identifier (IDFA) is used.

6. In-App Purchases

VendLog offers a one-time, non-consumable in-app purchase ("VendLog Pro") that unlocks exactly these 12 features: location commission (including recording commission paid at a visit), sales-tax provision, commission statements, analytics (rankings, dead machines, most-restocked products, trends), ROI and payback, routes, picklists, the prospect pipeline, the mileage log, CSV and PDF exports, accent themes, and unlimited machines (the free version covers up to 3).

Always free: service-visit logging (except recording commission paid, part of location commission), expenses, basic per-machine P&L, visit reminders, the Face ID / Touch ID lock, widgets, and iCloud sync.

Purchases are processed entirely by Apple through StoreKit. The developer does not receive or store your payment information. Pricing is displayed in the App via the App Store and may vary by region.

There are no subscriptions or recurring charges. You can restore purchases via the Restore Purchases option in the App.

7. Exports and Sharing

With VendLog Pro, you may export visits, machine P&L, expenses, and mileage as CSV, a monthly or yearly P&L report as PDF, and a location's commission statement as PDF or CSV. Exports are generated on your device, contain no photos, and leave the App only when you share them through the system share sheet.

An export file is written to a temporary folder reserved for VendLog exports. The App tries to delete the files in that folder when the share sheet closes, when you use Delete All Data, and the next time you open the App; these clean-ups are attempted, not guaranteed. A copy you have shared or saved elsewhere lives where you sent it and is not affected.

A commission statement contains the figures for the location you select. Whether and with whom you share it is your decision.

The developer does not sell, rent, or share your data with third parties.

8. Deleting Your Data

Settings › Delete All Data permanently removes every machine, location (with its commission terms and archive history), visit, product, expense, vehicle, mileage entry, route, and prospect — with their photos — cancels the reminders the App scheduled, and attempts to clear the temporary export files described above. Your settings and your Pro purchase are kept.

Delete All Data acts on the data the App has open. The App makes no promise about what happens to a copy already stored in your iCloud account: that depends on whether sync was active when you deleted (turning sync off only takes effect at the next launch) and on Apple's sync service. The App has no separate function to erase data stored in your iCloud account; you can manage it from the iCloud storage settings of your Apple Account.

10. Children's Privacy

VendLog is a business tool for vending machine operators. It is not directed at children under 13.

The developer does not knowingly collect personal information from children.

11. Changes to This Policy

This privacy policy may be updated from time to time. Changes will be reflected in the "Last updated" date above.
